Administrative Assistant

Reporting to the Director of Common Services, Administrative Assistant provides a supporting role and coordinates the activities of the administration. The Administrative Assistant supports accounting and human resources.

Responsibility

The Administrative Assistant is responsible for:

  • Answer and direct phone calls;
  • Welcome and direct visitors;
  • Write and distribute internal emails;
  • Classify and archive documents;
  • Respond to inquiries by email, telephone or in person;
  • Photocopy, print or scan documents on behalf of other colleagues;
  • Assist the HR department in their daily tasks : 
  • Support in scheduling interviews;
  • Follow-up of integration documents;
  • Write form letters for other office employees ;
  • Management of purchases for employees;
  • Assist the administration department in their daily tasks:
  • Assist with invoicing or payroll periods;
  • Timesheet tracking;
  • Order office supplies and search for new offers and suppliers;
  • Keep inventories up to date;
  • Manage the receipt and delivery of packages:
  • Receive and distribute packages;
  • Have the boxes delivered with Purolator;
  • Be the contact person for logistics;
  • Manage customs and parcel insurance;
  • Participate in committees;
  • Performs other related duties related to this description as required by operations.

Qualification

The position requires the following qualifications:

  • Specialized training in administration (DEP, DEC, certificate) or equivalent training with relevant experience;
  • At least three (3) years of experience in a similar (desired) role;
  • Practical knowledge of office equipment such as printers;
  • Knowledge of the Office suite (Excel, PowerPoint, Word, Outlook);
  • Advanced written and spoken French and English.
